Pencil Pass (“Pencil Pass,” “we,” “us”) provides editorial and market analysis for authors. This policy explains what information we collect when you use Pencil Pass, how we use and store it, and the choices you have.
The short version: your manuscript and your reports are yours. We do not keep your manuscript — we delete it 24 hours after your last analysis. We use it only to create and deliver your report, and we never sell, publish, or share your work with anyone else. Your report stays in your account until you delete it.
Information we collect
We collect only what we need to provide the service:
- Your manuscript. The file you upload (PDF, DOCX, or text) and any optional notes you add about your goals, stage, or preferred feedback tone.
- Your reports. The analysis Pencil Pass produces from your manuscript.
- Account information. Your email address and authentication details, so your work can be saved to your account and you can return to it.
- Payment information. When you purchase a report, payment is processed by our payment provider, Stripe. We do not receive or store your full card details; we keep a record of your purchase, tier, and order status.
- Basic usage data. Standard technical information (such as log and device data) used to operate, secure, and improve the service.
How we use your information
We use your manuscript and notes only to generate and deliver your Pencil Pass report, and to let you re-run or upgrade it during the 24 hours before we delete your manuscript. We use your account and payment information to manage your purchases, give you access to your reports, and provide support. We use basic usage data to keep the service reliable and secure.
We do not use your manuscript to train any AI model, and we do not use it to create marketing materials or public samples.
How long we keep your manuscript
We do not keep your manuscript. Twenty-four hours after your last analysis, we delete it — both the text we extracted and the original file you uploaded. If you upload a manuscript and never run an analysis, we delete it 24 hours after you upload it. Access before then is limited to you and the systems required to prepare and deliver your report.
Because your report supports its findings with evidence from your pages, it quotes selected passages from your manuscript. Those quoted passages are part of the report you paid for, so they remain in your report after the manuscript itself is deleted. We do not keep the rest of your manuscript in any form.
Your report stays in your account until you delete it. You can delete any report, or your account, at any time — see “Your choices and rights” below. Once your manuscript is deleted, re-running a section or upgrading your report requires uploading it again.
AI processing
Pencil Pass uses large language models to read your manuscript and produce your report. Your manuscript is sent to our model providers only to generate your report and is not used by us or, under our agreements, by those providers to train their models.
When we share information
We never sell your manuscript or reports, and we never share them with anyone other than you. We share limited information only with the service providers that make Pencil Pass work — for example, hosting, database, payment (Stripe), and AI model providers — and only to the extent needed to operate the service.
We may disclose information if required by law, or to protect the rights, safety, and security of Pencil Pass, our users, or the public.
Your choices and rights
You are in control of your content:
- Your manuscript is deleted for you. We delete it 24 hours after your last analysis — you do not need to ask.
- Delete your reports. You can delete any report at any time from your account.
- Delete your account. You can ask us to close your account and remove your reports.
- Access and correction. You can request a copy of the personal information we hold about you, or ask us to correct it.
- Marketing. We will only send you essential account and transactional messages unless you have opted in to other communications.
Data security
We use industry-standard measures to protect your manuscript, reports, and account information in transit and at rest. No system is perfectly secure, but we treat your work as confidential and design the product to keep it that way.
Children
Pencil Pass is intended for adults and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you.
